Why Gurugram societies are strict about moves

Think about it from the facility manager's side for a minute. A tower on Golf Course Extension Road or in the New Gurugram sectors can have several families shifting on one weekend, and each move brings a truck to the gate, strangers in the lobby and a lift hauling heavy furniture up and down. Scratched lift panels, chipped lobby tiles and blocked driveways are the complaints they hear afterwards. So the rules exist, and guards at the gate enforce them from an approved list.

Details vary from society to society. What follows is how it generally works across Gurugram high-rises, based on moves our branch on Mata Mandir Road handles week after week. Use it as a guide, and confirm the exact rules with your own maintenance office.

Move-out and move-in permission

Nearly every society wants a form before anyone shifts. It might be called a move-out slip, a shifting request or a material gate pass. For a move-out, the maintenance office normally checks that your dues are paid and then issues a no-dues note, which security needs to see before goods leave. If you rent, many societies also want the owner's written consent, since they don't want a tenant driving off with the owner's fittings.

Moving in comes with paperwork of its own. Tenants are usually asked for a copy of the rent agreement, ID proof for adults and photos for resident cards, and some associations also want police verification of tenants. Owners may be asked for proof of ownership the first time.

Refundable deposits show up in a fair number of societies, mainly as cover against damage to lifts and common areas. Amounts and refund processes vary widely, so ask how and when it comes back, pay only against a receipt and keep that receipt safe.

Booking the service lift without a clash

This is where most moving days in Gurugram go wrong. The service lift is shared, it's often booked in slots, and if another family in the tower is shifting that day, you'll wait. Book it the moment your date is fixed, and get the confirmation in writing or on the society app.

• Ask for the lift car's inside dimensions and door width, then measure your biggest sofa, fridge and wardrobe against them.
• Check whether the society fits padding inside the lift or expects the movers to bring it.
• Find out whether a lift operator or key is needed, and who holds it on a weekend.
• Confirm how long you can keep the lift. A full 3BHK nearly always takes longer than people guess.
• Ask what happens if the service lift breaks down on the day, and whether a passenger lift can be used instead.

If something won't fit, it either goes down the stairs or comes apart. Beds, wardrobes and some sofas can be dismantled, and our crew carries the tools for it.

Gate passes, timings and where the truck parks

Security at the main gate generally wants the vehicle number, the driver's name and the names of the crew, and some also ask for ID copies. We send these once the truck is assigned, and you forward them to the maintenance office. Keep a screenshot of the approved pass on your phone. Guard shifts change, and whoever is on duty early in the morning may never have seen the email.

Timings come next. Many societies permit shifting only in daytime, and some don't allow it on Sundays or public holidays at all. Ask for the exact window instead of assuming. Then ask where the truck can stand. Basement ramps in many towers are too low for a moving truck, so it needs a spot near the tower entrance or on a service road, and a longer walk means more hands on the job. Some society gates are also too narrow or low for a large truck, in which case a smaller vehicle shuttles goods in from outside, which is why the surveyor asks about the gate.

Outside the society, trucks also have to respect city rules on heavy-vehicle movement along busy stretches like Sohna Road, so your move manager sets the reporting time with both sets of rules in mind.

What should you ask the facility manager before moving day?

A ten-minute visit to the maintenance office saves hours later. Take this list along, once for the society you're leaving and once for the one you're joining.

1. Which form do I fill, and how many days in advance?
2. Is a no-dues certificate needed, and who signs it?
3. Is there a refundable deposit, and when is it returned?
4. Which days and hours are allowed for shifting?
5. Which lift can we use, for how long, and who handles padding?
6. Where can the truck park, and can it enter the compound at all?
7. What does security need for the gate pass, and by when?
8. For tenants, which documents are needed from me and from the owner?

Note the answers and share them with your move manager at the survey. They decide how many people we send and what time the truck reports.

Small habits that make society moves easier

Book the lift for the morning, when fewer residents are using it and the crew is fresh. Warn neighbours on your floor, since cartons will sit in the corridor for a while. Photograph the lift walls and the lobby before work starts, so an old scratch doesn't get pinned on your move.

At the new society the same rules apply in reverse, and move-ins are often stricter. Don't let the truck leave the old building until the new gate pass is confirmed. A loaded truck waiting outside the new tower because one form is still pending is the most avoidable delay there is.

When both addresses are Gurugram societies, the move is local but needs two sets of approvals on one day. Try to book the old tower's lift for the morning and the new one's for the afternoon, leaving room for the drive, since crossing from Sector 56 to Dwarka Expressway or New Gurugram can be slow in office hours. If the new society only permits move-ins on certain days, let that date set the whole plan.
